Dear ECAN Members,
To make ECAN function effectively and cover all the areas that require its attention, the first ECAN Executive Board meeting decided to assign each ECAN Executive Board Member (EEBM) a particular Role and Responsibilities.
Each member is responsible to carry out the assigned duties and should be accountable for them. From now on, please contact the assigned EEBM for any issues related to his/r specified responsibilities. I am sure this will make the work faster and more effective. I am always available if you need to contact me for any matters.

ROLE & RESPONSIBILITIES OF EACH ECAN EXECUTIVE BOARD MEMBERS

a) Organize Trainings/Workshops
Relevant training is necessary to familiarize the staff with the new developments and techniques in all areas. It builds up confidence and increases performance in work.
At present, there is a shortage of trained IELTS & TOEFL Instructors and counselors in Nepal. Therefore, this year, ECAN will invite resource persons and organize trainings in three particular areas:
1. For Study Abroad Counselors
2. For TOEFL Instructors
3. For IELTS Instructors
b) Coordinate with Embassies and Consulates
Since one of our main responsibilities is to send students abroad for further studies, this is not possible without the help and support of foreign embassies and consulates. This year we would strengthen our good relationships with the embassies and consulates who are already supporting ECAN and aim to make new contacts with other embassies and consulates.
For this, Mr. Pant would contact and meet the concerned people. During the visit, he would explain the aim of ECAN, give presentations, ask for their cooperation, and make them agree to work together for mutual benefits.

ECAN would not neglect our in house relationship. Here we should keep in touch with other ECAN members for the followings:
1. Listen to the problems of ECAN members and help them.
2. Listen to the complaints of students and parents, investigate their complaints, and then take appropriate actions.
b) Expand ECAN memberships
This year we will encourage non-ECAN institutes to join ECAN. In this way we can help them to get benefits which the ECAN members get, at the same time we could stop them from damaging all our names. If one institute is not honest, people think that all institutes are the same.
c) Prosecute ECAN Code of Conduct violators
This is one thing that we should take it very seriously. Though it is difficult and creates ill feeling among members, it is necessary if we want to gain respect and trust of students, parents, embassies, and academic institutions. All our efforts will be in vain if we do not strictly follow the code of conduct. This year
if any member violates the ECAN Code of Conduct, action would be taken appropriate to the nature of the violation.

It is important to maintain good working relationships with Nepal Government Organizations. Their assistance is very important to us. We need their help to make educational policies, financial issues, refund college fee etc. Mr Baral would coordinate Nepal Government Organizations regarding related to the government.

Mr Baral would look after the day-to-day functions of the office, Legal matters and acts as the spokesman of ECAN.
c) Library
A library would be maintained at the ECAN office for media and other materials related to media. All the aired programs of ECAN will be kept in the library.

Mr. Oli will send minutes of all the ECAN gatherings to all ECAN Members and relevant organizations or people. He would update all members about the decisions made by the executive body and also give out timely information to all members about the different activities that are to be undertaken.

Mr. Oli will go through the mails of ECAN and answer them appropriately then forward them to the related persons.

ECAN Directory is a good source to give out information about ECAN members and will be useful for students to get information. We should publish the revised Directory this year too. Mr Karki would be responsible for Publishing ECAN Directory, sending advertisement and all printing jobs.

As we organize ECAN Educational Fair this year, we should organize such fairs every year from now on. Mr Karki would coordinate with Mr Yogesth Chhetri for organizing such events.
c) Fund raising
As a treasurer, Mr Karki would contact people and institutions or organize such programs, which would help raise fund for ECAN.

Mr Chettri would be responsible for all issues related to the UK which includes listening to problems from students, parents and other sources and suggesting appropriate actions.

The British Council has been very helpful for ECAN members. It is important to keep good relationship with them. Mr Chhetri would coordinate with them regarding any matters with the Brithsh Council.

Mr Chettri along with Mr Karki would be responsible to organize ECAN Exhibitions or other exhibitions if needed.
